Net payouts hide the underlying activity

A bank receipt may combine transactions, fees, refunds and adjustments. Without the breakdown, finance cannot explain the amount received. Reconciliation connects the settlement report to its components and records differences requiring further evidence.

Settlement timing crosses reporting periods

Activity recorded before month-end may settle afterwards. Unexplained cut-off differences can distort outstanding balances. Period-based schedules separate supported timing items from amounts that still need investigation.

Open differences carry forward

Unmatched transactions and deductions can accumulate across providers and currencies. An exception register gives each item an explanation, evidence requirement and responsible person, so unresolved balances remain visible at the next close.

Provider changes leave uncertain opening balances

A transition can leave the incoming team with incomplete reconciliation files. A separately scoped remediation exercise establishes what the available records support before those balances become the basis for recurring reporting.

Accounting work with a defined review process

Ordinary operations close monthly: an accountant prepares the work and a senior accountant reviews it. The engagement sets out the sources, reporting outputs, client decisions and handoffs needed for that cycle.

The purpose is a financial record that management can follow from activity to cash and ledger balances. Your payment role, contractual arrangements and available reports determine the work; a payment-company label alone does not establish the accounting treatment.

Agreed reporting

From payment activity to the monthly close

  1. 01 — Establish the activity record

Identify the relevant providers, accounts, currencies and reporting periods. Gather activity exports, settlement reports, bank statements, the ledger and existing reconciliation files. Check reporting boundaries and available references before comparing totals.

  2. 02 — Explain settlement amounts

Connect gross activity to fees, refunds, chargebacks and other adjustments where applicable. Record the evidence supporting each deduction or addition rather than treating a net payout as a complete explanation.

  3. 03 — Match settlements to bank movements

Compare payout references, dates, amounts and currencies with bank receipts. Distinguish settlement timing, currency differences and unmatched amounts. A matching total does not by itself explain all underlying transactions.

  4. 04 — Reconcile balances and resolve questions

Tie the schedules to the ledger. Document proposed corrections and questions requiring authorised client decisions. Retain unresolved items with their supporting evidence and next action instead of forcing an unsupported match.

  5. 05 — Prepare and review the close

Prepare the agreed balance schedules, exception summary and reporting outputs. The senior review forms part of the accounting process; it is not an independent audit or regulatory assurance engagement.

What the agreed scope can include

Recurring accounting and reporting

The monthly service can include settlement-to-bank reconciliations, supported PSP and bank balance schedules, fee and adjustment schedules, outstanding settlement lists and documented corrective entries. Agreed management or cash-flow reporting can explain the period’s balances and open matters.

The closing package can bring together those schedules, the exception register and questions requiring client approval. Its content is agreed around the business’s sources and reporting requirements, rather than assumed to be identical for every payment model.

One-off reconciliation and remediation

Historical catch-up, uncertain opening balances and inherited differences are scoped separately. Potential outputs include a source inventory, reconciliation files, an opening-balance support schedule, a corrective-entry schedule and a handover record of unresolved items.

Missing records can limit what can be substantiated. Remediation does not promise recovery of settlement amounts or resolution of every historical difference.

Relevant accounting services

For Swiss entities, Swiss Statutory Accounting, VAT and Payroll can form part of the agreed service. Relevant accounting records may support discussions with appointed auditors or advisers. The scope does not provide payment processing, licensing, AML services or assurance over safeguarding compliance.

How we work

  1. Discuss the business. Explain your payment model, current difficulties and reporting priorities.

  2. Define the scope. Agree sources, periods, outputs and responsibilities; separate historical work from the recurring cycle.

  3. Organise the transition. Confirm data access, opening records, communication and client approval points.

  4. Maintain the reporting cycle. Prepare and review the agreed monthly accounting work, with outstanding matters kept visible.

Questions about payment accounting

Can you work with our existing PSP reports?

We first confirm the reports, formats and references available. Coverage is agreed from that assessment; automatic integration or support for every provider is not assumed.

How do you distinguish timing differences from errors?

The supporting activity, settlement dates and bank records provide the basis. Items without sufficient evidence stay open for investigation rather than being labelled as timing differences by default.

Who approves adjustments and accounting judgements?

Authorised client decision-makers approve material judgements and corrections where required. Accelio prepares the agreed analysis and documents the supporting basis.

Can historical issues be addressed alongside monthly accounting?

Yes, as distinct agreed workstreams. The scope identifies the historical periods, dependencies and unresolved balances so that remediation and recurring reporting have clear responsibilities.

What does the initial consultation cover?

The first consultation is free and covers general questions. Detailed document review and audit work are not included. Meeting arrangements are confirmed separately; submitting the form does not reserve a time.
